Before setting up the integration, consider the following:

Connecting Recurly to an instance of QuickBooks Online that contains historical data introduces the risk of duplication errors since objects like accounts, items, plans, and add-ons can never be reused.

Integration overview
The integration ensures a one-way sync from Recurly to QuickBooks across six integration points, syncing records in the following sequence:
- Recurly Items, Plans, Setup Fees, and Fixed Priced Add-Ons with QuickBooks Items
- Recurly Accounts with QuickBooks Customers
- Recurly Invoices with QuickBooks Invoices
- Recurly Payments with QuickBooks Payments and Refunds
- Recurly Credits with QuickBooks Credit Memos
General sync behavior
Upon setting up the integration, a start date will be specified. Records created or updated post this date will be synced with QuickBooks Online. The integration runs hourly, syncing all records created or updated since the last run. It's a one-way sync, meaning updates in QuickBooks post-integration won't reflect back in Recurly.
Plans and items
Recurly items, plans, fixed-priced add-ons, and setup fees are synced as Items in QuickBooks Online by default. Once stored, their type can be edited in QuickBooks Online. QuickBooks Online requires unique Item Names.
Note: Only Recurly Fixed-Price Add-Ons can be synced to QuickBooks Items. Tiered, Volume, or Stairstep Add-Ons are not supported.
For accurate syncing, ensure Recurly plan names, item names, and add-on names are unique. QuickBooks Online uses these as unique identifiers. Also, QuickBooks Online has a 100-character limit for Item names. Longer Recurly object names will be truncated, potentially causing uniqueness errors.
During setup, you can specify an account for item records in QuickBooks, either an Income or a Liability account. It's recommended to choose a Liability account, like Deferred Revenue.
Resolving duplicate plan errors
Duplicate customer records are a common error. If you encounter a duplicate product error, click the "Resolve Error" button to view a list of matching items or plans in QuickBooks.
Selecting "Link to Plan" resolves the error, ensuring all invoices using this plan reference the corresponding item in QuickBooks.
Customers
Recurly's integration ensures that customer data from Recurly's account record type is synchronized with QuickBooks Online's customer record type.
The integration covers the following fields from Recurly to QuickBooks:
- Display Name
- First and Last Name
- Company Name
- Phone Number
- Billing Address
- Notes
All Recurly accounts will be synchronized, irrespective of the chosen Start Date. Accounts marked as inactive in Recurly before the first sync will not be transferred to QuickBooks. If an account becomes inactive in Recurly post-sync, the inactive tag will not be applied in QuickBooks to ensure future data synchronization.
It's essential to note that while both Recurly and QuickBooks allow for email communication with customers, it's advisable to use only one platform to avoid redundancy.
The integration will only synchronize the billing address and not multiple shipping addresses or the account address. Additionally, due to differences in customer definitions between Recurly and QuickBooks, multicurrency sites may face challenges. For instance, while a Recurly customer can have multiple currencies, a QuickBooks Online customer can only have one. The solution is to synchronize all transactions from Recurly to QuickBooks that match the base currency in Recurly.
Customer naming
QuickBooks requires uniqueness for the "Display Name" field. During the Recurly-QuickBooks setup, users can choose from:
- First Name + Last Name (e.g., Jeffrey Smith)
- Account Code (Recurly's unique ID)
- Company Name
- Email address
The chosen field will be used as the Display Name in QuickBooks. For B2C companies, it's recommended to use the Account Code or First + Last Name, while B2B companies might prefer the Company Name.
Important:
Only the Account Code is mandatory in Recurly. If a non-mandatory field is chosen and an account in Recurly lacks that field, synchronization to QuickBooks will fail.
Resolving duplicate customer errors
Duplicate customer records are a common issue. This typically arises due to a clash in the Display Name in QuickBooks. For instance, if two accounts with the name "Jane Doe" exist in Recurly, one of them will fail to synchronize.
To resolve, click the "Resolve Error" button. The subsequent screen will display similar customers in QuickBooks. Once a customer is selected, the Recurly customer account will be linked, and all related transactions will be sent to QuickBooks using this customer record.
Merging customers
QuickBooks provides a feature to merge accounts, which can be useful for managing duplicate customer accounts. Before integrating with Recurly, it's recommended to audit QuickBooks customers to ensure no duplicates exist. If merging is required, follow the guidelines provided here.
Invoices
Invoices in QuickBooks will reference the associated customer accounts and items/plans. Each Recurly invoice line item will be synchronized to QuickBooks.
The journal entry for the invoice will appear as:

- Disable the "Custom Transaction Numbers" function to prevent invoice synchronization errors.

Taxes
The integration supports tax information from Recurly but not using QuickBooks' functionality. Taxed invoices will display tax as a separate line item named "Recurly Sales Tax".
Discounts & coupons
Invoices with coupons will display the discount value separately. Both fixed-amount and percentage-based coupons are supported. However, a list of coupon redemption records will not be synchronized. More details on coupons can be found on the Recurly Coupons documentation page.
One-time charges and credits
Recurly allows for charges and credits outside of a subscription. These will be synchronized to QuickBooks once invoiced. All one-time charges and credits will be mapped to the default account set up in Recurly.
Failed invoices
If an invoice fails in Recurly, no changes will be made in QuickBooks. It's recommended to write off such invoices in QuickBooks at the end of an accounting period if they remain uncollected.
Transactions
Recurly's integration ensures that transactions are mapped to the appropriate payment or refund receipt object within QuickBooks. Depending on the nature of the transaction:
- Payments (positive amounts) are mapped to the payment object in QuickBooks, which is then associated with the corresponding invoice.
- Refunds (negative amounts) result in the creation of a refund receipt in QuickBooks. These receipts don't reference other records but are associated with the relevant customer record in QuickBooks.
Key points to note:
- Payments are directed to the "Undeposited Funds" account instead of a direct bank account.
- Payments in QuickBooks will reference the specific invoice the transaction covers.
- Transactions that are Auth and Void won't be synced to QuickBooks since they don't have a financial impact.
- Refunds are synced with QuickBooks' refund object.
- Refunds, like payments, are directed to the "Undeposited Funds" account.
- The transaction number is recorded in the "Customer Memo" field of the transaction record.
Fields from Recurly that sync with QuickBooks' payment record include:
- Invoice associated with the payment
- Amount
- Payment Date
- Gateway Reference code (recorded in the Memo field)
- Payment account (determined during integration configuration)
Credits
Credits in Recurly are synchronized with QuickBooks' Credit Memo object. Notably:
- Account-level credits aren't synced until they're invoiced.
- When an invoice with a credit line item is present, it results in the creation of an invoice record, a Credit Memo (CM) record, and a payment record in QuickBooks Online to associate them.
- Credits that include tax deductions will be factored in, reducing the "Recurly Sales Tax Payable Register."
Fields from Recurly's invoice that sync with QuickBooks' invoice record include:
- Customer reference

Take into account:
Carryforward credits, like credits from downgrades that remain uninvoiced in Recurly, will sync to QuickBooks. Deleting this credit in Recurly won't reflect in QuickBooks, necessitating manual deletion within QuickBooks.
Revenue Recognition with QuickBooks Online
QuickBooks doesn't inherently support revenue recognition. Thus, for those using QuickBooks Online, it's recommended to leverage Recurly's Revenue Recognition.
For those practicing accrual-based accounting, it's advised to set up Recurly products to sync to QuickBooks using a deferred revenue account. At each month's end, a journal entry should be made to recognize revenue.
Managing sync errors
Recurly provides visibility into sync errors between itself and QuickBooks Online, ensuring users are aware of any discrepancies.
However, it's not always feasible to expect flawless synchronization between the two systems due to various potential issues. Therefore, Recurly allows users to ignore sync errors for Invoice and Transaction objects. If an error arises that isn't easily resolvable, it's recommended to manually recreate the invoice or transaction in QuickBooks and then "Ignore" the error in Recurly.

Clearing test data
In a Recurly sandbox, the "Clear Test Data" button (found in Site Settings) will remove your QuickBooks configuration.
Transitioning to production
When transitioning from a sandbox to production in Recurly, always connect to a fresh instance of QuickBooks. Recurly will automatically remove QuickBooks from your integrations during this transition.
Integrating Recurly with QuickBooks Online
Step 1: Preparation
Ensure you have an active account with both Recurly and QuickBooks Online. Backup your QuickBooks Online data to ensure you can restore your data in case of any discrepancies during the integration. Audit your customers in QuickBooks to ensure there are no duplicate customer accounts. If duplicates are found, consider merging them in QuickBooks before proceeding.
Step 2: Access Recurly's integration settings
Log in to your Recurly account. Navigate to the Integrations section. Look for the QuickBooks Online integration option.
Step 3: Connect to QuickBooks Online
Click on the Connect or Setup button next to the QuickBooks Online integration option. You'll be redirected to a QuickBooks Online login page. Enter your QuickBooks credentials and log in. Grant the necessary permissions to allow Recurly to access your QuickBooks data.
Step 4: Configuration
Once connected, you'll be redirected back to Recurly to configure the integration settings. Set up the mapping between Recurly and QuickBooks Online fields. Determine how you want to handle taxes, discounts, and other specific transaction types. Choose the default revenue account in QuickBooks where Recurly transactions will be recorded.
Step 5: Testing the integration (Optional but recommended)
If you have a sandbox or test environment for both Recurly and QuickBooks Online, use this environment first to test the integration. A: No, we only send Invoices, Credit Memos, Payments, and Refunds.
Q: What are the accounting entries made by the integration?
A: By default:
- Invoices debit accounts receivable and credit an account that you select under "Income Account" in the integration setup.
- Payments debit Undeposited Funds and credit accounts receivable.
- Credit Memos (negative invoices) debit an account that you select under "Income Account" in the integration setup and credit Accounts Receivable.
- Refunds debit Accounts Receivable and Credit Undeposited Funds.
Q: How do I manage my revenue with this integration?
A: While we are not accountants and cannot advise you on exactly how to handle your accounting to become compliant with GAAP or IFRS, we can suggest a process to handle revenue. We recommend that you set up the integration with a deferred revenue account. When invoices are posted to Recurly, they will transfer to QuickBooks using this deferred revenue account. You can then use Recurly Revenue Recognition (see above) or another process to calculate the amount of deferred revenue which should be recognized each month, and prepare a journal entry. This is how most of our merchants handle rev rec in QuickBooks. Again, this is not a hard and fast accounting rule, but a suggestion on process.
Q: Why are payments applied to Undeposited Funds instead of a cash account?
A: This is done because most of our merchants have expressed that they do not want each and every payment to affect their cash account. We recommend that merchants use the "Make Deposits" functionality within QuickBooks to transfer one journal entry of payments from Undeposited Funds to Cash at the end of each month.
Q: Am I able to alter the Income accounts on a product-by-product basis?
A: Yes! All items, plans, fixed priced add-ons, and setup fees are transferred to QuickBooks as non-inventory items, and by default are applied to the Income account you set up in the integration setup. However, you can change these accounts on an item-by-item basis.
Q: Am I able to trigger an on-demand sync?
A: Yes! Use the Queue sync button on the QuickBooks Online Integration screen to trigger a sync process automatically. Otherwise, the sync will run once every hour.
Q: I use Stripe as my gateway, and I see transactions marked with a pi_ value, why is that?
A: Stripe's newest API version uses Payment Intents, which Recurly migrated all merchants over to March 25th, 2021 or earlier. The new PI integration updated the transaction value that maps back to a Stripe transaction using a pi value. The old charges endpoint is not their supported API version, and may be deprecated at some point. Previous transactions will still be marked with the previous ch ID in Recurly, which would be reflected in Xero.
